Submission Terms and Conditions
These Submission Terms are here to keep things clear and fair.
You keep full ownership of your work. By submitting, you give us permission to store and review it so we can run the selection process, and if your work is selected you allow us to publish it on the Becoming Unmapped website and use reasonable excerpts or images to promote the project, always with the credit name you provide.
We will only make minor technical changes needed for online display, and we are not asking for any gallery or print exhibition rights at this stage: if the project moves into a physical exhibition or other formats later, that would be discussed and agreed with selected artists separately.

These Submission Terms and Conditions (“Terms”) apply to all works submitted to the Becoming Unmapped project (“Project”), operated by [Project team/organisation name] (“we”, “us”, “our”). By submitting work, you (“you”, “the Contributor”) agree to these Terms.
1. Eligibility and submission
1.1 You confirm you are at least 18 years old.
1.2 You confirm the information you provide in the submission form is accurate to the best of your knowledge.
2. Ownership and copyright
2.1 You retain full copyright and moral rights in your submission.
2.2 Nothing in these Terms transfers ownership of your work to us.
3. Permission to review and administer submissions
3.1 You grant us a non-exclusive, worldwide, royalty-free licence to:
receive, store, and access your submission for the purpose of administering the open call, reviewing work, and communicating with you;
make technical copies as needed for backup, internal review, and file handling.
3.2 This licence exists so we can run the submissions process. It does not grant us permission to exhibit your work in a gallery or other physical venue. If you are selected, we may request additional rights later, but you are not granting them under these Terms.
4. If selected: online publication and Project promotion
4.1. If your submission is selected, you grant us a non-exclusive, worldwide, royalty-free licence to:
publish and display the selected work on the Project website and Project-controlled online channels;
use the selected work (or reasonable excerpts, stills, or clips) to promote the Project and the selected work in Project communications, including social media, newsletters, press and funding communications, and Project documentation.
4.2. We will credit you using the credit name you provide, unless you request anonymity or a pseudonym.
4.3. We may make minor technical adjustments required for online presentation and accessibility (for example resizing, compression, format conversion, captions), but we will not materially alter the work’s meaning without your permission.
5. Future exhibition or print use
5.1 Any physical exhibition, print publication, sale, commissioning, or other extended use of selected work will be subject to separate written agreement(s) agreed with selected contributors at the relevant time.
5.2 You are not granting those rights under these Terms.
6. Third-party rights and permissions
6.1 You confirm that your submission is your original work, or that you have obtained all necessary permissions to submit it and to grant the licences in clauses 3 and 4.
6.2 If your work includes third-party material (for example images, text, music, samples, or identifiable artwork), you confirm you have permission for its inclusion and for the online uses described in these Terms.
7. Privacy, ethics, and sensitive material
7.1 The Project explores dementia, memory, time, space, and self. If your work identifies, depicts, or quotes a living person, you confirm you have appropriate consent or you have anonymised sufficiently to protect privacy and dignity.
7.2 We may request a content note for sensitive material.
7.3 We reserve the right not to publish, or to remove, work if we reasonably believe it creates significant privacy, safeguarding, or legal risk.
8. AI tools (disclosure)
8.1 If AI tools materially contributed to your submission (generation or significant editing/transformation), you agree to disclose this in the form.
8.2 Disclosure does not automatically disqualify a submission. We may use the information for curatorial context and transparency.
9. Selection, curation, and communications
9.1 Submitting does not guarantee selection. Curatorial decisions are final.
9.2 We may contact you to clarify details, request higher-quality files, or request accessibility materials (alt text, transcripts, captions) for online publication.
10. Withdrawal and takedown
10.1 You may request withdrawal of a selected work from the Project website by contacting us at [email]. We will use reasonable efforts to remove it within 30 days.
10.2 You understand that promotional or archival materials already produced (for example press releases, social posts, screenshots, or third-party shares) may persist.
11. Data protection
11.1 We process personal data you provide (name, email address, submission files, statements) to administer submissions, communicate with you, and, if selected, publish and promote work online as described above.
11.2 We store data securely and restrict access to the Project team and any directly involved reviewers.
11.3 We will retain submission records for [retention period] and will delete personal data on request where applicable, subject to legal and administrative needs.

12. Liability
12.1 To the extent permitted by law, we are not liable for technical issues outside our control (including platform outages or file corruption).
12.2 Nothing in these Terms limits liability that cannot be excluded under law.
13. Governing law
These Terms are governed by the laws of England and Wales, and disputes are subject to the courts of that jurisdiction.
